Salary: $70,000-$75,000 USD Annually

Position Overview:
The Finance Manager at the Regenerative Organic Alliance (ROA) is responsible for managing accounting, financial planning and analysis, organizational administrative and operational support, and invoicing. This role ensures accurate financial records, develops financial strategies, supports administrative functions, and oversees billing processes to maintain healthy cash flow. The ideal candidate will have strong finance and accounting skills, excellent analytical abilities, and the capacity to collaborate across departments to support the organization’s mission and goals.
Essential Duties & Responsibilities:
Accounting
- Perform all bookkeeping tasks through QuickBooks Online, including COA maintenance, GL management, data entry, monthly reconciliations, data cleansing, report creation, etc.
- Manage accounts payable and credit card spend with appropriate GL classification and receipt support
- Support planning and manage accounting for reserved / restricted funds
- Monitor and manage communications for all Accounting@ emails
- Prepare annual tax filings and other tax-related compliance
- Prepare the ROA for future external audit requirements
- Develop governance documents (policies, guidelines, work instructions, etc.) to enable more efficient and consistent operational decision-making
Financial Planning and Analysis
- Prepare monthly updates to and continue refining ROA’s financial planning and reporting tools, leveraging QuickBooks Online features and supplementing as needed. This includes budget vs. actuals, balance sheet, and cash flow
- Present monthly, quarterly, and annual financial reporting updates to the CEO and Board Treasurer, including readiness support for Board meetings
- Manage a calendar for all major financial deadlines
- Lead the annual budget creation process and ongoing budget monitoring
- Manage cash liquidity and conservative investments where cash flow analysis permits
Organizational Administrative and Operational Support
- Receive and process mail (primarily check payments)
- Perform bi-monthly payroll processing (including expense reimbursements and related policies) using Gusto, interfacing with Retirement Plan Consultants (ROA’s plan provider) for inclusion of 401(k) contributions. Support staff with related questions, liaising with HR personnel as needed
- Maintain annual liability insurance
- Collaborate with cross-functional teams
- Maintain a working knowledge of all core roles and responsibilities to provide functional back-up as needed
Invoicing
- Create invoices for all program fees (producer, brand, CB, etc.)
- Perform accounts receivable functions, including payment application, accounts receivable aging, and coordination with the Certification team for managing unpaid accounts
- Address customer requests related to international payment specifications (tax credits, tax forms, etc.), with as needed support from external tax experts
- Own the annual review and revision of the Cost & Fee Structure, Certifying Body Cost & Fee Structure, and any other policies pertaining to invoicing
- Perform revenue forecasting and refinement of related methodologies
Other
- Ability to attend and participate in organizational meetings and activities
- Work cross collaboratively with internal and external stakeholders to ensure effective communication and processes
- Other duties as needed
Preferred Qualifications:
- 4+ years of accounting, financial, administrative, and/or certification experience, with preference for in a non-profit setting
- Degree in Accounting, Finance, and/or related field
- CPA preferred, or similar technical accounting expertise
- Experience using QuickBooks Online for financial reporting and invoicing
- Competent and experienced user of Microsoft Office suite, and general tech-savviness
- Experience in data management and entry skills, including the ability to maintain and improve related systems
- Ability to work and thrive in a remote, rapidly evolving, and fast-paced environment
- Excellent interpersonal skills with a professional and courteous demeanor
- Strong organizational capabilities, excellent attention to detail, and consistent follow-through on assigned tasks
- Outstanding written, verbal, and virtual communication skills
- Proactive approach to problem-solving and process improvement
- Ability to work well under pressure and navigate multiple deadlines
- Passionate about regenerative organic agriculture, certification, food systems, farming, animal welfare, and social justice
